Shipping High-Value Electronics: Insurance and Tracking

·Last reviewed:

Short answer: phones, servers and finished network equipment carry a lot of value in very little volume, which makes them attractive to thieves and costly to replace. Instead of relying on a single measure, combine four: cartons that do not reveal the contents, seals and photos at every handover, traceability by serial number or IMEI, and a cargo policy with a declared value. The mode (air or ocean) changes how long the cargo is exposed, not whether it needs protecting.

This guide is for orientation and is not legal or insurance advice. The conditions of each policy and of each customs procedure are confirmed with the insurer and with the licensed customs broker handling your clearance.

Why finished high-value equipment is a different problem

A container of clothing and a container of phones can weigh the same and take up the same space. What changes is how much each kilo is worth and how easy it is to resell what is inside. Finished electronic equipment combines three traits:

  • High value per package. A single carton can represent an important share of the value of the shipment.
  • Quick resale. A phone or a server sells without any transformation. That is why electronics appear among the cargo that, according to sector reports, is most sought in highway thefts.
  • Partial loss that is hard to detect. Two cartons out of forty are missing and nobody notices until destination.

This guide focuses on finished equipment. If your question is how to import electronics from China, with standards, homologation and the container, that topic is in importing electronics from China by container. We do not repeat it here.

What we have moved

In Kold Gold's cargo track record, and with authorization to mention it, there are three cases from this sector: the production line for Sagem mobile phones (assembly machinery from the French maker of communication equipment), mobile phones as finished high-value equipment, and computing and communication equipment: servers, computing and networking.

It is a short record and we say so: we do not publish volumes, routes or times for those cases. What we do offer in this guide is a criterion: treat finished equipment as high-value cargo from the quotation, not after something goes wrong. If what you are moving is a complete assembly line rather than finished product, see relocating a production line to Mexico.

The four layers of protection

1. Discreet packing

The outer carton should not advertise the brand, the model or the quantity. If the manufacturer prints the product name on the cardboard, one option is to overwrap it with a wrap or a neutral master carton. Palletizing with film and corner protectors helps a shortage show at a glance.

2. Seals and evidence at every handover

Each time the cargo changes hands (warehouse, truck, terminal, airport, destination), it is worth recording the seal number and taking photos of the seal and of the cargo. The idea is that, if something is missing, you can pinpoint between which two points it happened. A high-security seal does not prevent theft, but it leaves evidence of tampering.

3. Traceability by serial number or IMEI

The IMEI is the 15-digit identifier of a mobile phone. According to IETF RFC 7254, it is made up of an 8-digit type allocation code (TAC), a 6-digit serial number and a check digit. For a distributor, having a packing list with the serial number or IMEI per carton serves two purposes: reconciling what was received against what was shipped, and reporting precisely which units are missing if there is a loss. The same applies to the serial numbers of servers and network equipment.

4. Cargo insurance with declared value

The carrier's liability is usually limited and, as a rule, falls below the commercial value of electronic equipment. For high-value equipment, what to review in the policy, in this order:

  1. Insured value against the real replacement value.
  2. Contracted clause: the ICC (A) clauses are the broadest in scope, and the choice should respond to the value and sensitivity of the cargo.
  3. Exclusions and policy requirements for electronic equipment, such as the packing or evidence required to claim.
  4. Which documents are requested in a loss.

At Kold Gold, cargo insurance is available when you quote; the conditions are set by the policy that is contracted.

Air or ocean for high-value equipment

CriterionAirOcean
Exposure timeShorter: a few days between warehouses (estimated)Longer: weeks between ports (estimated)
Handling pointsFew, but concentrated in cargo terminalsMore: yard, vessel, terminal, final ground transport
Cost per kiloHigherLower
When it usually fitsSmall lots of high value, launches, urgent replenishmentLarge volume and a flexible calendar
Point to watchBatteries: equipment with lithium-ion has its own air rulesSealed container, storage yards and the final ground leg

Times are approximate and depend on the route, the season and space availability. The useful calculation is not the cost per kilo: it is freight cost plus insurance plus the cost of the lot arriving late or incomplete. See our air freight and ocean freight pages for the services.

A warning about batteries. Practically every phone and laptop carries lithium-ion batteries, and by air that means specific classification and packing. We do not summarize those rules here because they change; confirm them against the applicable edition before shipping.

The final ground leg

Even if the international leg goes well, part of the risk is in the final ground leg. The same precautions apply as for highway theft prevention: verify the operator and the vehicle, defined routes and schedules, and planned stops. When the value justifies it, armed escort can be evaluated for that leg. Which scheme fits depends on the value of the cargo and the route, and it is defined at quotation. See our ground transportation page.

For warehouses and ground transport, one reference scheme is TAPA (Transported Asset Protection Association), which, according to the certifier DQS, publishes security requirements for facilities (FSR) and for road transport (TSR). Asking a provider whether its warehouse or its carrier follows a scheme of that kind is a reasonable question; it does not replace direct verification of each operation.

Tracking: what to expect

Kold Gold's 24/7 tracking lets you know what stage the shipment is at. With high-value cargo, what matters is defining before departure who notifies whom if a milestone is missed, and how long to wait before escalating.

Checklist before shipping

StepWhat to verify
ValueCommercial and replacement value per lot, to declare the right value
PackingCartons with no visible brand, closed and photographed pallets
Serial / IMEIList per carton, sent before departure
SealsNumbers recorded at origin and checked at every handover
InsurancePolicy with declared value and reviewed clause; claim documents clear
ModeAir or ocean according to value, urgency and batteries
Final legRoute, schedule and escort scheme agreed beforehand
CustomsDocumentation reviewed by the licensed customs broker handling your clearance

Questions a buyer asks

Can I send phones as a courier parcel? For commercial lots, freight with import or export documentation is the usual route. The customs treatment of each shipment is confirmed by your customs broker.

Does the insurance cover theft? It depends on the clause and the exclusions of the policy. It is reviewed before contracting, not after the loss.

Do I have to declare the full value? An under-declared value can leave the cargo insufficiently covered and cause problems with the insurer. Declare the real value.
